Why report totals differ
Two reports for the same store and day can be right and still disagree. These are the usual reasons, in the order to check them.
The day starts at a different time
Section titled “The day starts at a different time”Each report reads times in the store’s own time zone, but they don’t cut the day in the same place:
| Report | A day runs from |
|---|---|
| Daily Payment Totals by Store | midnight to midnight |
| Z-Out Item Sales | 6:00 AM to 6:00 AM the next day |
| Cash Out, Sales Transactions, Revenue by Store | the Start Hour to 11:59 PM |
The Start Hour is set on the store you’re signed in to. Tick Include time under Period to pick other hours.
So a sale at 12:30 AM on Oct 2 is on Oct 2 in Daily Payment Totals by Store and on Oct 1 in Z-Out Item Sales. Cash Out and Sales Transactions leave it out of both days unless the Start Hour is before 12:30 AM or you include time.
Before tax or after tax
Section titled “Before tax or after tax”- Before tax: Net Total in Z-Out Item Sales, Net Total Sales in Cash Out, Subtotal and Avg. Order (Pre-Tax) in Revenue by Store, and Avg. Order (Pre-Tax) on the dashboard.
- After tax: Total in Z-Out Item Sales and Sales Transactions, Total Sales in Cash Out, Total Invoiced in Revenue by Store.
Sales or money taken
Section titled “Sales or money taken”Daily Payment Totals by Store adds up payments, not sales:
- Only the payment types with a column count in Total. A payment by another type, like pay from account, isn’t in it.
- Card columns include tips. Less: Tips takes them back out of Total.
In Revenue by Store, Other $ is what was invoiced, plus deposits and recycling fees, minus the payments it has a column for. It is $0.00 when every receipt is fully paid by those. Anything else points to a receipt whose payments don’t add up, or a payment type without its own column.
Filters the report opens with
Section titled “Filters the report opens with”- Cash Out opens on you under Personnel. Pick (All Clerks) for the whole store.
- Z-Out Item Sales opens on POS Transactions Only, which leaves out sale invoices.
- Sales Transactions shows paid receipts. Set Status to All or Void to see voided ones. Voided sales aren’t in the other reports’ totals.
